An office move needs a plan for the first working morning at the new address. Choose who is responsible for the move, decide what must work first, and give every desk, cabinet, and box a destination before loading starts.

For a small Los Angeles office, one clear floor plan and a labeled inventory can prevent a lot of last-minute decisions. Keep responsibility for technology, building access, and physical moving work explicit.

Name one person who can make decisions

Pick a move lead who can answer questions for the business. Give that person authority to resolve furniture placement, access, and inventory questions. Identify a backup if the lead will be in meetings or traveling.

Ask staff what has to remain available until the final workday. A filing cabinet needed for a live project should not be packed with old archive boxes just because both sit in the same room.

Choose the priority for setup at the new office. It may be reception, the desks used by a particular team, or the space needed for the next day's appointments. Share that order with the moving team before loading.

Create an inventory by destination

Count desks, chairs, monitors, cabinets, shelving, and larger shared equipment. Note which furniture needs disassembly. Photograph unusual or bulky pieces and anything with visible existing damage.

Make a floor plan for the new address. Give rooms and desk positions simple names or numbers, then use those same labels on the inventory and boxes. “Desk 6, north room” is more useful than an employee's name if the crew has never met the staff.

Separate items that will be recycled, donated, collected by another supplier, or left for the landlord. Mark them before the move rather than relying on a verbal exception when the crew reaches the room.

For records that need controlled access, choose the authorized person who will supervise them. Keep confidential paperwork in suitable closed containers and agree how it will be identified and received. Your business remains responsible for its own privacy and retention requirements.

Give IT its own handover

Back up important data and test the backup before equipment is disconnected. Photograph cable connections and label each device and its accessories. Have your IT provider handle shutdown, disconnection, reconnection, and network testing as required.

Moving computers and arranging a working network are different jobs. Confirm the mover's scope and the IT provider's scope in writing. Do not leave a server shutdown or access-control change to an assumption that “the moving team will sort it out.”

Keep the contacts and equipment needed for the first workday accessible. Ask the IT lead when the internet service and any building-dependent systems will be ready at the destination.

Confirm access with both building managers

Get the permitted moving hours, loading entrance, elevator reservations, and parking arrangements. Ask for insurance requirements early. Splendid Moving can provide a certificate of insurance upon request; management needs time to review its requirements and the paperwork.

An office address may have a loading dock on another street or a height limit that affects where the truck can stop. Photograph the approach and share access instructions. Review the COI and elevator guide with the person managing the building arrangements.

Confirm the arrival window before telling staff the office will be ready at a particular hour. Availability and the actual moving schedule need to be agreed for your job.

Close the old office and receive the new one

On moving day, have someone walk through the old office after loading. Check storage rooms, kitchen cupboards, meeting spaces, and furniture drawers. Account for keys, building passes, and any landlord handover requirements separately.

At the new office, use the inventory to check arrival and placement. Report visible problems promptly and keep the relevant paperwork. Have the responsible staff test their equipment before restarting normal operations.

Splendid prepares office moves individually rather than sending the household hourly quote automatically. Review our commercial moving service, then request a custom quote with the inventory, building windows, access details, and floor plan.
