Start with a desk list and a floor plan for the new office. Splendid Moving quotes office moves from the furniture, boxes, access and timing involved. A headcount alone does not tell us how much is moving.

Send the two addresses, the preferred moving date and an inventory through the office moving quote form. Include the people who will manage the old and new spaces so building questions do not get lost between teams.

Give every desk a destination

Number each desk or workstation on the new floor plan. Put the same number on its furniture and boxes. A simple label such as "Desk 6, finance room" is more useful to the crew than an employee's first name without a room assignment.

Count chairs, filing cabinets, meeting tables, shelving and reception furniture separately. Tell us which pieces need disassembly and reassembly. Include the break room and supply cupboards; those are easy to leave out of an office inventory.

Photograph furniture that is built in, fixed to a wall or unusually large. Discuss those items before moving day. Do not assume every fixture can be handled like a freestanding desk.

Separate the furniture move from the IT handoff

Choose who will back up data, shut down equipment, disconnect it and reconnect it at the new address. Moving properly prepared equipment is a different task from administering a network or bringing a server back online.

Keep passwords, sensitive records and devices that staff will carry outside the general moving boxes. Assign a person to check that the right equipment reaches each desk. Arrange network shutdown and setup with your own IT contact.

Ask both buildings about access

Confirm the loading entrance, elevator booking and allowed moving hours at each location. Ask for written COI requirements if the building has them. We can provide a certificate on request, but management needs to review and accept the paperwork.

Check the route from the loading area to the office. Share any garage clearance, locked doors, long corridors or stairs with us. A reserved dock does not automatically mean the elevator is also reserved.

Our COI and elevator guide gives you a concise list of questions for the building manager.

Make the last office day specific

Name one person who can answer furniture questions while loading and one who can direct placement at the new office. Agree which rooms or workstations need to be usable first. Confirm the schedule with the moving team before telling staff when they can resume work.

If you want packing help, identify the cupboards, shared equipment and individual work areas that need it. Boxes of files, full bookshelves and kitchen contents need to appear in the inventory. Packing time and extra materials belong in the quote.

For a broader preparation list, use our small office moving checklist. When the inventory is ready, request your office quote or call (323) 645-2636 to discuss the building restrictions. General service information is on the commercial moving page.
